Services

We provide a full range of services to our Homeowner Associations, including but not limited to:

Accounting Services

Maintain complete records of all Association transactions
Order and mail Assessment Payment Coupons to each homeowner
Set up Lock Box System to receive and record Assessments
Set up and processing of ACH System to receive and record Assessments electronically
Provide reports and follow up on all delinquent accounts in accordance with policies established by the Board of Directors
Preparation of monthly Financial Reports for distribution to the Board
Process all Association invoices for prompt payment twice per month
Maintenance and Reconciliation of all Association Bank Accounts
Assist the Board of Directors in the preparation of an Annual Budget
Assist the Board of Directors in the preparation of a Long Term Reserve Fund Proposal
Cooperate with Association CPA during annual Audit and preparation of Tax Returns

 

Administrative Services

Set up and maintain a complete system of records, to include governing documents of the Association, Rules & Regulations, Resolutions and records of ownership of all properties
Prepare and mail a Welcome Packet to new members, containing information about the Association, within ten (10) days of notification of change in ownership by the Title Company
Provide comprehensive Board Packets to the Board of Directors prior to regularly scheduled Board meetings
Attend regular Board of Directors Meetings and prepare accurate minutes
Coordinate and attend the Annual Meeting and all Special Meetings, including preparation and mailing of official Notice of Meetings, Proxies and Ballots
Prepare and submit Corporate Report Renewals as required by the Secretary of State
Provide prompt and accurate administration of the Design Review Process
Assist the Association in preparation and distribution of a quarterly Newsletter
Act as a liaison with the Association attorney

Management Services

Encourage community involvement by providing leadership and direction to the Association’s Committee volunteers
Assist the Board of Directors in establishing Covenant Violation Fine Policies and Procedures
Maintain records showing progress of Covenant/Rule Enforcement issues, including sending letters and assessing fines in accordance with policies established by the Board of Directors
Maintain a spreadsheet and color-coded maps to track Landscape installation progress of each new home, including sending violation letters and assessing fines to those who do not comply with the time requirements of installation
Conduct regular physical site inspections of the community to determine; general condition of the common areas, architectural control violations, covenant violation issues and oversee contractor performance
Assign Work Orders to contractors for routine maintenance and repairs as needed and/or as directed by the Board of Directors
Initiate vendor services including, preparation of bid specifications, solicitation of bids for contracts, checking references of bidders and summarizing bids for the Board of Directors
Provide a 24-hour, 7 day/week emergency service line.
